Once authorisations expire

How to set up an agency billing

Agencies require understanding of the billing that can be reconciled with the billing that they authorised. We keep it simple. 

Before service begins
  • The agency verifies those the authorised: client reference, rides covered, dates and any limits.
  • We log the authorisation number or purchase reference to ensure that every ride and invoice can be traced back.  
  • Rates are negotiated beforehand and written. 
After each ride
  • All trips are documented, including date, pick-up time, drop-off time, addresses, vehicle and driver, and confirmation of arrival. 
  • Cancellations and no shows are noted with reason, and the agency's cancellation policy is followed, as agreed. 
Invoicing
  • Invoices are issued on either weekly or monthly basis and list each trip against its authorisation number.  
  • Trip logs accompany so that you can review billing and ride logs with them.  
  • If a charge does not correspond to the authorisation, please contact our billing contact.
